Executive Director

Job Summary
The Executive Director of the South-Central Virginia Business Alliance (SCVBA) is responsible for advising and managing the development of organizational strategies, administering policies, preparing budgets, and providing financial reports. This role includes coordinating Board meetings, managing membership recruitment and renewals, and supporting both the Membership Committee and Events Committee.

The Executive Director will also oversee the selection and implementation of a Non-profit Membership Management and CRM system, plan and support SCVBA events, and support the development of the Project Hub, an online resource for General Contractors and subcontractors in solar, storage, and other infrastructure projects. Additionally, the Executive Director monitors and responds to emails, ensuring effective communication and collaboration within the organization.

Job Functions:

  • Advise and manage the development of organizational strategy.
  • Develop, manage, and administer organizational policies and philosophies.
  • Prepare SCVBA budgets and manage to these budgets.
  • Provide financial reports supported by third-party accounting and bookkeeping.
  • Coordinate Board meetings, develop materials for Board meetings, and distribute materials:
    – Take notes and prepare minutes using AI Note taking for distribution within 5 days of meetings.
    – Board meetings are scheduled and conducted using MS Teams, and a member company’s administration manages scheduling.
  • Monitor and distribute incoming emails appropriately and respond accordingly.
  • Identify and recruit new members.
  • Manage membership renewals, track status and provide the Board updates.
  • Manage and support the Membership Committee.
  • Manage the member’s directory, adding new members, coordinating with members on their materials, and updating as needed.
  • Manage the selection of a non-profit Membership Management and CRM system
  • Manage and support the planning and implementation of SCVBA events.
    – SCVBA hires third-party event planners and third-party support for Day-of.
  • Manage and support the development and implementation the Project Hub.
    – The Project HUB is intended to be a comprehensive online resource for stakeholders involved in providing and procuring construction services for solar and storage projects. The website will feature solar project information, company information, project and company documentation, updates, and communication tools. The primary objectives are improving transparency, streamlining project management, and facilitating stakeholder collaboration.

Knowledge, Skills, and Abilities:

  • Knowledge of office administrator responsibilities, systems, and procedures.
  • Excellent time management skills and ability to multi-task and prioritize.
  • Positive team player with a “roll up your sleeves”, service-oriented attitude.
  • Excellent verbal and written communication skills, with proven ability to clearly communicate with technical support, customers and leadership.
  • Strong attention to detail and problem-solving skills.
  • Ability to work well independently as well as part of a team.
  • Ability to maintain a high level of confidentiality and integrity in all aspects of interactions with internal and external stakeholders.
  • Proficient in MS Office (Excel, Word, Outlook, PowerPoint, MS Teams, and Publisher).
  • Experience working with accounting software such as QuickBooks is a plus.
  • Experience working with non-profit/association membership management and CRM systems is a plus.

Experience and Education:

  • Minimum of two years of proven experience in an administrative role, or preferably a non-profit Executive Director or Deputy working for a non-profit Board or directly for non-profit leadership.
  • Bachelor’s degree preferred, high school required.
  • Ability to be physically located in southern Virginia for SCVBA events is required, and physically present for the SCVBA Board meetings is preferred.
  • Experience living and working in southern Virginia is preferred.


Compensation:

  • $30 per hour with expected 25-35 hours per week.
  • Includes incentive bonuses and approved reimbursements.
